This privacy statement details how we, Careers Wales Association ('CWA'), meet the data protection requirements for the United Kingdom and European Union. The statement applies to the web site as a whole and the E-Portfolio site, which together will be referred to as 'Site' throughout this statement. We are committed to respecting your privacy.

There are many sections of the Site that can be used without providing us with any personal details. For other sections of the Site you need to register, giving personal details about yourself. Once you choose to give personal details to us, we guarantee that these will only be used as detailed in this privacy statement. We are registered under the Data Protection Act 1998 and have given the appropriate notifications to the Information Commissioner.

This statement can be found at the bottom of every page by clicking on the "Privacy" link or via our homepage. Any change to this statement will be detailed here.

WHAT INFORMATION WILL WE COLLECT?

So that you may access all sections of the Site you will need to register and provide us with personal details including your name, address, telephone number and e-mail address.

When you register you will be asked for other information regarding ethnic origin and disability but you are not required to give this information. You may register without providing us with this information.

WHAT DO WE DO WITH THE INFORMATION WE COLLECT?

We will use information provided by you to understand your needs and help us to provide you with a better service. The personal details you give us will be used, in particular, for the following reasons:

  • Our internal record keeping.
  • To assist us in improving our services.
  • To enable us (and certain associated organisations) to contact you occasionally to inform you about new services or other information which we/they think you may find interesting. This information will be provided using the contact details you provided us when you registered as a user on the Site.
  • To make sure that you are complying with the terms and conditions of use of the CWA Site please read the terms and conditions by clicking on this link: Terms and Conditions.

Documents you produce through use of the Site will be monitored by CWA (or a third party on our behalf), to make sure that these materials are appropriate to the personal and career development aims of the Site.

If you input information onto the Site you are agreeing to this monitoring. If you do not want your information to be monitored, please do not input any information onto the Site.

WHO WILL WE SHARE THE INFORMATION AND YOUR CHOICES WITH?

CWA may share any information provided by you with associated organisations (including other Careers Wales bodies) who may from time to time provide you with information relating to careers matters that they/we believe may be of interest to you. We will do this to make sure that you are provided with relevant and up to date careers information. This information will be given to you using the contact information you provided to us when you registered.

Also, the people/ organisations listed below will be given access to documents you produce through use of the Site so that they can support your personal and career development. These people/ organisations are:

  • staff employed by CWA;
  • teachers, lecturers and trainers employed by your school, college, university or trainer provider (as is applicable);
  • mentors appointed by your school, college, university or training provider (as is applicable).

We must also give other organisations access to information held on the Site to make sure that we comply with our legal responsibilities including our legal responsibilities to certain public bodies (including DCELLS and the Welsh Assembly Government), which are responsible for monitoring, inspecting and funding the Site.

So that we comply with our statutory obligations regarding equal opportunities, any information you provide regarding your ethnic origin and any disability you may have may be provided to public bodies responsible for making sure that we and the Site comply with relevant equal opportunities laws. This information will be made anonymous so that it cannot be linked to any particular individual.

It may be necessary for us to disclose information on the Site (including personal details) to protect CWA. If any information on the Site, for example, indicates that a criminal offence has or may be committed, or that harm has or may be inflicted on an individual, we will disclose this information, and any other relevant information on the Site, to the appropriate authorities.
